Responsibilities

2011 Board Member Responsibilities:

President (Tim Borge - 273-7711) – The President shall be the chief executive officer of this corporation.  He or she shall preside at all meetings of the Board of Directors.  He or she shall have general supervision, direction and active management of the affairs of this corporation.  He or she may execute on behalf of this corporation all contracts, deeds, conveyances and other instruments in writing which may be required or authorized by the Board of Directors for the proper and necessary transaction of the business of the corporation.

The President is responsible for the annual report, annual calendar, meeting agendas, and overall strategy and direction for the association.

Vice President (Dean Nelson) – The Vice President shall perform the duties of the President in case of the latter’s absence or disability.  The execution by the Vice President on behalf of this corporation of any instrument shall have the same force and effect as if it were executed on behalf of the corporation by the President.

Secretary (Tara Bigelow) – The Secretary shall keep accurate minutes of all meetings and shall be custodian of the records, documents and popers of this corporation.  He or she shall provide for the keeping of proper records of all transactions of this corporation,  He or she shall have and may exercise any and all other powers and duties pertaining by law, regulation or practice to the office of Secretary, or imposed by these bylaws.  He or she chall also perform such other duties as may be assigned to him or her from time to tie by the Board of Directors.

Responsible for insurance coverage.  Updates to the Constitution and/or Bylaws.  KMGSA newspaper articles, school announcements, and the community education brochure entry.  Produce monthly secretary report. K-M school handouts.  Organize and coordinate team pictures for all summer teams.

Treasurer (Theresa Peters) and Co-Treasurer (Dave Folkert) – The Treasurer shall have and may exercise such duties as may be assitned to him or her from time to time by the Board of Directors.  He or she shall present to the Board of Directors at its annual meeting his or her report as Treasurer of this corporation, and shall from time to time make such other reports to the Board of Directors as it may require.

Responsible for 501 3C status, year end financial report, yearly budget.  Use Quicken software to track income and expenses by category.  Produce monthly treasurer report.  Reconcile bank statements.  Make deposits.  Make authorized payments and reimbursements.

Coaches Coordinator (Jeff Fague) - Responsible for identifying and recruiting coaches for all teams.  Update the coaches application each year.  This includes a notarized form to be completed by all coaches or helpers working with the players, and information about a background check.  Creates and updates the Coaches Handbook.  Organize and hold coaches clinic(s).  Organizes and holds tryouts.  Updates the tryouts evaluation sheets.

2010 Coordinator Responsibilities:

Apparel Coordinator (Cindy Nelson) – Place, receive, and delivery of all apparel orders.  Update the player and fan apparel order forms.  Take digital pictures of all apparel for posting on the web site.  All apparel must have payment prior to placing the order.  Includes order and delivery of T-shirts for the Spring Swing Camp and the Little Lady League.

Data Entry Coordinator (Craig Hackenmiller) - Checks the mailbox on very regular basis.  Enters all registrations, applications, apparel orders, using Microsoft Access database software.  Generates and sends reports to those who need them.  After entry, scan and e-mail player applications to the appropriate coach.

Equipment Coordinator (Dean Nelson) – Make sure that all teams have required and adequate equipment.  All purchases must be authorized by the board.  Includes scorebooks, first aid kits, coolers, electrical cords, etc.  Includes practice, game, and team equipment.  Keep an inventory spreadsheet of all KMGSA assets.  Organize a time that coaches can pick up their equipment.  Organize a time that all equipment must be turned in.  Produce beginning year and ending year inventory detail report.

Facilities Coordinator (Jeff Fague and Tammi Kenedy) – Open Gym starts in November and goes through March before school practices start.  Reserve gym space for pitchers and hitting.  Monday and Wednesday – Pitchers.  Friday – Hitting.  6-7am at the K-M Elementary School gym – East side.  Supervise each session.  Bring equipment, set-up, take down, return necessary equipment.  be the focal point for KMGSA facilities requests to the KM School District.  Primary duties will be open gym organization, but will also include other times such as Try-outs.

Fields Coordinator (Cindy Nelson) – Reserve fields for all team’s practices and home games.  Make sure fields are striped for games.  Hire umpires for home games.  Post umpire schedule for coaches to know who is umpiring their game and how to contact them.  Repair field problems.  Write up and communicate to coaches the responsibilities of players to rake and maintain the fields after every practice and game before being allowed to leave.  Coordinate ASA umpire certification.

Fundraising: Golf Outing (Judy Hemann) – This fundraiser is held in the spring or early in the summer softball season.  This person is responsible for organizing the golf outing to bennifit a training budget for the softball programs.  Find date, location, dinner, game tables, promotion materials, tickets, etc.  The target date is sometime mid-April through end of-May.

Fundraising: Cookie Dough Coordinator (Cindy Nelson, Theresa Peters, and Tara Bigelow) – This fundraiser is held during the summer softball season.  This person is responsible for organizing the cookie dough fundraiser for all of the summer softball programs.  Work with Varsity Gold to identify apparel incentives.  Run the overall selling and distribution of the cookie dough.

Fundraising: Members and Sponsors Coordinator (Unassigned) – Organize KMGSA individual memberships and corporate sponsorships.  Levels include Single, Double, Triple, Home Run, and Grand Slam.

School Booster Coordinator (See Jim Damon, President, Kasson Mantorville Girls Softball Booster Club)

Team Coach – Organize initial team meeting.  Set team practice times, semi-private lesson times, team practice plans and drills.  Coach the team at games.  Responsible for team equipment and first aid kit.

Team Parents – 1) Player notebook – ASA roster, ASA team card, pictures, copies of birth certificates.  2) Take the team picture.  Take other pictures and write up articles to submit to the DCI.  3) Plan year end party.  Not funded by KMGSA.  4) Take the book during games.  5) Calculate team and player statistics.

Tournaments Coordinator (Hosting) (Jerry Boyd) – Responsible for organizing and hosting tournaments at K-M.  Getting the fields, sending out flyers, registering teams, coordinating concessions, umpires, trophies, etc.  Lions Club will be having a 12U tournament this next summer.

Tournaments Coordinator (Participating) (Jim Damon - 259-2569, damon5@kmtel.com) – Work with the coaches to identify, register, and organize the traveling teams for tournaments.  This includes the state tournament.  All tournaments will be identified up front, prior to registration, so that the tournament fees can be included in the overall registration fees for the summer traveling team player.

Training Coordinator – (Tim Borge and Jeff Fague) - Organize skills training opportunities during open gyms ad during the spring, summer, and fall seasons.  Identify and hire quallified skills trainers.

8U summer Minnies League Director/Coordinator (Tara Bigelow) – Update the registration form for KM players and teams registration form.  Assign teams.  Make schedule.  Handle any league disputes or problems.  Update game and/or league rules.

10U Summer Little Lady League Director/Coordinator (Tara Bigelow) – Update the registration form for KM players and teams registration form.  Assign teams.  Make schedule.  Handle any league disputes or problems.  Update game and/or league rules.  Hold a league meeting with representatives from surrounding schools/towns to receive feedback and make changes.

12U - 18U Summer Teams Coordinator (Tim Borge) – Attend Southern Minny league meeting.  Send in team registrations.  Have coaches get ASA rosters signed.

10U - 18U Fall Teams Coordinator (Tim Borge) – Organize Fall League teams, register the teams.  Identify coaches.  Work with area teams to combine players to form a team, if necessary.

10U - 18U Winter Teams Coordinator (Tim Borge) – Organize Winter Dome League teams, register the teams.  Identify coaches. 

Uniforms Coordinator (Cindy Nelson) – Place, receive, and deliver all uniforms (shirt, shorts, visor) for traveling teams.  Assign jersey numbers.  Facilitate posting available numbers / uniforms for sale by those that are leaving the system.

Web Site Coordinator (Tim Borge, Tara Bigelow, and Brant Klepel) - Makes all updates to the www.kmsoftball.org web site.  Currently using Microsoft Front Page software.  Register the domain each year or when due through Onsite Computing of Kasson.  Onsite Computing gives us the web serving space for free, so we recognize them as a sponsor.  Forward appropriately or answer all e-mails to support@kmsoftball.org.  Check out Google Apps once we have 501-3C status.
